Privacy Policy

Effective as of April 16, 2012

Optima Healthcare Insurance Services (“We” or “Optima”) understands the importance of the privacy of our members’ personal information and is fully committed to protecting and safeguarding personal information collected through the use of Optima’s Website or displayed there. By personal information we mean information that identifies you. The following policy explains our information gathering, use and dissemination practices. If we make significant changes to these practices, we will post the updated policy here. Each version of this policy will be identified at the top of the page by its effective date.

Information Collected Without Registration

To experience the full benefits of our services and tools we encourage you to become a member of Optima. However, some of our Website’s content is available to you even without registration. If you access and use our Website without registration, it automatically collects your IP address, the configuration and type of your browser, the URLs of the Websites from which you came to our site and the ones visited on our site, as well as cookies and Web beacons and other information. This information may identify you to gather data on usage of our Website.

IP Address. Short for Internet Protocol address, the IP address is the unique number automatically assigned to your account by your Internet Service Provider. Your IP address may identify you as an individual.

Browser Configuration. When you access our Website, it automatically logs your type of browser (e.g., Internet Explorer, Firefox or Chrome). That information allows us to tailor the layout and contents of our Website to your browser’s specific requirements.

URL Information and Third Party Links. URL is short for Uniform Resource Locator, which is a technical name for a Website address. We collect such information so that we can measure response rates to email offers available through our Website.

We also have links to other parties’ sites (such as government agencies, trade associations, or other information sites) on our Website. If you click on such links, you will be re-directed to such other Websites. Optima cannot control, and is not responsible for, the privacy practices or the content of such other Websites. Any information you provide to those Websites will be governed by their privacy policies, which may be different from ours. You should carefully review their privacy policies to understand the collection and use of your information by such Websites.

Cookies. Cookies are commonly used on the Internet. They are strings of text and numbers that our Website transfers to your device. Cookies can help us to customize the content of our Website to your needs and preferences and gather information on our Website use. Most browsers can be configured to accept or reject cookies. You can view the instructions on how to change your browser’s configurations in the “Help” section of your browser’s toolbar. If you disable the cookies, you may lose some functionality or content available on our Website.

Web Beacons. Web beacons are tiny graphic image files, in GIF, JPEG or HTML format, embedded in the web page or email message, which may not be visible to you, but which may transmit the IP address of the requesting computer, the time the content was requested, the type of browser that made the request, and the existence of cookies previously set by that server to third-party servers, such as those of our sponsors and advertisers.

Information Collected With Registration

The full spectrum of our personalized content and services would be available to you if you register as a member with us. As part of the registration process, we ask you to provide us with personal information, such as your name, firm or company, address, email and phone. Although this information is not provided to us electronically or through the Site, we use this information for the membership listing available through the Site to members.

Disclosure of Your Information

Occasionally, we may aggregate the information collected from different users and remove any information that identifies any individual. Such aggregate data (for example, demographic or profile information) may be used for statistical purposes or for evaluating the needs of our members, which will allow us to provide better services and content. In some cases, we may share your personal information with specific third parties, such as our agents, vendors or contractors who provide us with technology and services related to the operation of our Website, or provide services to you on our behalf.

We may also be required to release your personal information to third parties in special cases, such as to comply with our legal obligations, to respond to a warrant, subpoena or court order, to prevent illegal conduct, physical threats, abuse or injury to or interference with our rights or property.

Security and Safeguarding Your Information

We have implemented various security measures to protect and safeguard against the loss, misuse and alteration of the information under our control, and we make reasonable efforts to store the information collected by Optima in a secure operating environment that is not available to the public.

However, despite these security measures, we cannot guarantee complete security. Because of the nature of the Internet and the technological advances, there is always a risk of unauthorized access to personal information by a third party, such as a computer hacker, or interception of your data during the Internet transmission. You should also keep your registration username and password safe and secure, and limit authorization to access personal information only to the persons who need to have such access.

Notice to Children

Optima does not offer or sell products or services for purchase by children. If you are under eighteen years of age, you may not purchase products or services from, and you should not provide information to, Optima without the involvement and consent of a parent or guardian. We do not collect personal information from anybody who we know is younger than 13. However, we may not be able to ascertain the user’s real age if the information provided to us is not correct. All personal information of minors may be provided only by, or with consent and guidance of, their parents or guardians. The parent or guardian is responsible for supervising the child’s use of, and access to, our Website.

Use of Your Registration Information

We use your registration information to maintain two lists:

  1.  Member email list. We use this list to inform our members of meetings and educational programs, of the publications of Optima, of someone else’s event.
  2.  Member snail mail list. We use this list to mail hard copy materials.
